series of calls.
I keep track of all these cards by entering the amount held against a call and put all this into a spreadsheet. I do a sort to see who has the most envelopes with cards held. The result is a list of calls with cards and envelopes, starting with highest number of cards first, Simple really! Chances are if you have envelopes with me and you have at least 15 cards or so, I will send them out to you. The spreadsheet also allows me to search for anything, as I do receive envelopes with no call on them! I also keep a note of any special requirements i.e. "Wait 25". If you have an email address I will normally let you know the cards are on the way, as some people have had them go missing in the post and not realize it, more on postage later. |
| If you don't have envelopes with me, and I am holding under
10 cards then there is not a problem, they will stay there. If they build
up to more than 10 I will try to contact you, I have a look at qrz.com
to see if you have an email address.
If you don't have email or are not listed then I make note of the date I received these cards and I will keep them for period of four months, ( RSGB say keep for a maximum of three). After 4 months I take them out of my filing system and put them in a "holding" box to be destroyed. When this box is full up I empty it. This may seem a bit harsh but it avoids the system getting clogged up with uncollected cards. I have heard of stories of sub-mangers getting in a real mess with a huge backlog of cards running into thousands, and then loosing interest and quitting the job. All this means you will normally get your cards within a week of me receiving them, and I have time to get on the radio! If you have contacted me then I will hold on to your cards until I receive envelopes from you, they won't be chucked out!
